How do I check my Microsoft 365 backup is healthy?
We monitor every M365 backup job for you and contact you if a tenant, mailbox, OneDrive, SharePoint site or Teams object stops backing up. You don't need to log in to anything to know it's working. If you want a regular report you can share with your auditor or board, raise a ticket via the HA Portal and we'll set up scheduled email reports showing the number of protected mailboxes and sites, the latest backup time per object, and any items that are skipped or excluded. Most customers run a monthly report.
How do I restore a deleted email, file or Teams message?
Raise a restore ticket via the HA Portal with the user's email address, what to restore (mailbox folder, individual email, OneDrive file, SharePoint document, Teams channel message), the date or date range, and where you want it delivered. We can restore in-place (back to the original mailbox or site), to another user's location (handy when someone has left), or export to a PST or zip file you can download. Most email and file restores complete within an hour of the ticket. Teams chat history restores take a bit longer because of how Microsoft stores the data, expect a few hours.
A user has left, what happens to their backed-up data?
You can keep their backed-up mailbox, OneDrive, SharePoint and Teams data for as long as you need, even after the Microsoft 365 licence is removed and the account is deleted in your tenant. This is one of the main reasons companies buy third-party M365 backup: Microsoft purges deleted users after a short window, but our copy stays under your contracted retention. Raise a ticket to flag a leaver, we'll mark the account as ex-staff so it isn't re-billed, and confirm how long you want the data preserved.
How do I add or remove users from my backup coverage?
By default we back up every licensed user in your tenant, so new starters are picked up automatically at the next backup cycle, usually within 24 hours. To exclude users (shared mailboxes you don't need backed up, training accounts, service accounts), raise a ticket with the list of UPNs to exclude. To increase coverage to also protect SharePoint document libraries or Teams that aren't linked to a user mailbox, raise a ticket with the site URLs or Team names and we'll add them to the protection group.
What's the retention period for my Microsoft 365 backups?
Default retention is unlimited within your contracted storage allocation, meaning we keep every change indefinitely until you tell us otherwise. Some customers prefer a fixed retention policy (7 years for finance correspondence, 6 years for HR records, indefinite for everything else), which we can configure per-mailbox or per-site. Retention rules and any legal hold requirements should match your company's data retention policy and your sector's compliance rules.
